About the role
A growing team is hiring three Service Parts Coordinators to help manage service parts from shipment through return. You’ll coordinate orders, prepare and track shipments, receive incoming parts, and follow up on returns and delivery issues—helping ensure technicians have the parts they need.
This is a hands-on role split between the office and warehouse. Some tracking may initially be managed in spreadsheets as processes evolve. We’re looking for people who are curious, detail-oriented, dependable, and comfortable researching issues and adapting to changing needs.
What you’ll do
- Process service parts orders and help prioritize urgent requests.
- Pack parts and coordinate outbound shipments.
- Track deliveries and investigate delays, lost shipments, or misrouted packages.
- Receive incoming parts and create or coordinate returns.
- Follow up on overdue or missing returns, RMAs including warranty, repair, and core parts.
- Monitor backorders, communicate expected delivery dates, and escalate shortages that could affect customers or technicians.
- Resolve shipping label, address, and tracking issues.
- Work with goods receipt
- Maintain accurate parts, shipping, and return records in spreadsheets and business systems.
- Communicate with field service technicians and internal partners to resolve parts questions.
- Support inventory tracking and investigate discrepancies as processes develop.
What we’re looking for
- Experience in a similar role, such as shipping and receiving, parts coordination, inventory, warehouse operations, logistics, or service support.
- An understanding of how parts or materials move through a business—for example, receiving, shipping, returns, or goods receipt.
- Strong attention to detail, dependability, and follow-through.
- A curious, resourceful approach to researching problems and finding answers.
- A sense of urgency and the ability to manage changing priorities.
- Clear communication skills and comfort contacting technicians by phone or email.
- Basic Excel skills, including creating and updating spreadsheets; pivot table experience is helpful.
- Familiarity with SAP or a similar ERP system experience
- Basic Excel.
- Ability to move between office and warehouse tasks and to sit, stand, and be mobile during the workday.
- A positive, flexible approach as processes and business needs change.
