Job Summary
The Warehouse Operations Clerk is responsible for ensuring all outbound shipping documentation is completed accurately and on time. This role supports daily warehouse operations by coordinating with carriers, drivers, and site personnel and reports directly to the Operations Supervisor or Manager.
Essential Duties & Responsibilities
- Communicate daily with outbound carriers via email to coordinate shipment schedules and equipment needs.
- Communicate operationally with site personnel through various media to ensure requirements are met.
- Receive inbound drivers and provide direction for outbound shipments.
- Open and close shipments in the Warehouse Management System (WMS) and prepare accurate Bills of Lading.
- Ensure drivers depart with complete and correct shipping paperwork.
- Maintain strict adherence to standard operating procedures to ensure shipping document accuracy.
- Gather, enter, maintain, and update shipping data and records within the WMS.
- Assist in resolving shipment discrepancies or documentation issues.
- Perform material handling duties as required, including receiving, put-away, picking, packing, and loading.
- Monitor trailer capacity and proactively coordinate trailer moves with yard spotters.
- Support additional administrative tasks as assigned by the leadership team.
- File outbound documentation in an organized and accessible manner.
- Maintain accurate seal logs with all required information.
- Keep the load board current and accurate.
- Communicate work assignments when needed, including appointments, dock doors, picking assignments, or loading instructions.
- Perform other duties as assigned.
Required Skills, Experience & Education
Mandatory Qualifications
- High School Diploma or GED required.
- Experience working in a fast-paced warehouse environment.
- Experience with Warehouse Management Systems (Manhattan preferred).
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
- Strong organizational, time management, and recordkeeping skills.
- Ability to handle changing priorities and exercise sound judgment under pressure.
- Good visual acuity and finger dexterity for inspecting shipments and entering data accurately.
- Ability to create and maintain inventory and shipping records with attention to detail.
- Experience with Material Handling Equipment (MHE) or willingness to learn.
- Bilingual (Spanish) preferred but not required.
Physical & Work Environment Requirements
- Ability to work in a fast-paced operational environment.
- Flexibility to work extended or irregular hours, including nights, weekends, and holidays as required.
- Ability to stand and/or walk for 10–12 hours per shift.
- Ability to lift and move totes weighing up to 50–100 pounds.
- Regular bending, lifting, stretching, and reaching above and below waist level.
- Frequent walking throughout large warehouse facilities (over ¼ mile in length).
- Ability to work in environments with variable noise levels, lighting conditions, and temperature variations.
- Must be able to access all areas of the facility without restrictions.
